We are currently looking for a Full-Time Inventory Systems Supervisor to join our team. Under the direction of the Operations Manager, the Inventory Systems Supervisor is responsible to oversee the internal inventory management system to ensure efficient shipping and receiving of food coming into and out of the warehouse. Working closely with management this role is responsible for accurate record-keeping, producing timely reports, and participates with cycle counts.


Main Duties

  • Ensures the correct use of Primarius (Inventory Management System) to control and effectively receive and track food coming into and out of the warehouse.
  • Monitors network distribution based on quotas for the different member agencies, relative to inventory levels.
  • Prepares daily reports for the Operations Manager regarding, but not limited to, replenishment, inventory flow (FIFO), distribution shortages, vendor updates.
  • Revising agency orders to reflect the appropriate invoice for actual deliverables.
  • Completes invoicing process for agency purchases.
  • Oversees agency schedules to ensure efficient logistics coordination.
  • Facilitates appropriate distribution of reports to multiple internal and external stakeholders.
  • Participates in inventory process and controls.
  • Supports with timely cycle counts in the various warehouses.
  • Identify, communicate, troubleshoot, and/or escalate receiving and/or quality control issues to Operations Manager and/or Director of Operations.
  • Provide administrative support to the Operations Manager and Director of Operations, as necessary.
  • Ensure compliance with all legislative and organizational policies and procedures, including Occupational Health and Safety and Food Safety requirements.
  • Continually reviews working practices and makes recommendations for improvements to the Operations Manager and/or Director of Operations.
  • Contributes to monthly financial reporting by exporting data from Primarius to Quickbooks.
  • Other appropriate duties, as assigned.


Knowledge, Skills & Requirements

  • 3 – 5 years experience in a similar role.
  • Proficiency with Excel is required.
  • Proven experience in Inventory management.
  • Previous warehouse experience is an asset.
  • Occupational Health and Safety training is an asset.
  • Food Safety training is an asset.


Working Conditions


The work involves ongoing contact with co-workers, volunteers, donors, member agencies, and the public. Tact, discretion, and good manners are necessary when dealing with all daily contacts. Good judgment is also required when having to make decisions regarding the quantities and types of food being offered by donors. The ability to effectively identify problems and resolve conflicts is required to work effectively as a team member.


Failure to keep the work environment clean and safe could lead to physical injuries, loss of property, equipment, vehicles, or food.  Errors in judgment or lack of discretion when dealing with daily contacts could impact The Ottawa Food Bank’s image and directly affect its ability to deliver food efficiently and effectively to the agencies who serve the needy.


The work is performed on-site at the Head Office between the hours of 8:00 a.m. and 4:00 p.m.


Frequent heavy physical activity (e.g., the lifting of objects of up to 50 pounds, maneuvering large pallets of food) is required to perform the duties of the position.

Good verbal and writing skill in English is a requirement of the position. Basic verbal skills in French would be an asset.
