For over 30 years, The Ottawa Food Bank has been providing fresh, non-perishable food, as well as supplies such as diapers, toiletries, and cleaning supplies to its network of agencies across the city. Our vision; healthy, accessible, sustainable food for all.


We are currently looking for a Full-Time Receptionist/Administrative Assistant to join our team. Under the direct supervision of the Director of Finance and Administration, the Receptionist/Administrative Assistant has primary responsibility for providing excellent front-line service as well as administrative and support services to the Ottawa Food Bank and assists with other activities of the organization, as required.


Main Duties

The Receptionist/Administrative Assistant is required to provide bilingual administrative support to the Ottawa Food Bank and to perform a range of duties including, but not limited to:


  • Welcome clients, visitors, and volunteers in person or on the telephone and answer inquiries in a pleasant and professional manner.
  • Assist clients in distress by anticipating anxieties and answering questions, directing them to appropriate community/internal services.
  • Protect client’s rights by maintaining the confidentiality of all client information.
  • Accept donations of cash, credit cards, and cheques (and issue temporary receipts as needed).
  • Manage the general voicemail box and distribute messages.
  • Provide direction for individuals inquiring about volunteer opportunities.
  • Maintain a neat and professional office environment and ensure appropriate signage is on display as required.
  • Manage the volunteer kitchen, ensuring clean dishes and refreshments are always available.
  • Assist Intake Worker as required (workload, assembly of information packages to be sent with home delivery hampers)
  • Provide backup support and coverage to the Intake Worker due to workload, illness, or vacation.
  • Assist on and occasionally manage short-term projects as required.
  • Other appropriate duties, as assigned.


Knowledge, Skills & Requirements

  • Post-secondary diploma/degree in office administration or an equivalent combination of experience.
  • Minimum 2-years’ experience in a similar role with demonstrated customer service, interpersonal and communication skills. Previous experience with client intake is preferred.
  • Experience working directly with vulnerable people. Understanding food security and poverty reduction would be considered an asset.
  • High proficiency with Microsoft Windows and Office environment (Word, Excel, Outlook) and standard office equipment.
  • Ability to remain flexible and adaptable while planning and prioritizing work.
  • Fluently bilingual (spoken, comprehension, and written) in both official languages. Any additional languages are considered an asset.
  • Demonstrated proficiency in problem-solving, judgment, tact, discretion, maturity, and reliability.
  • Demonstrated a warm and positive attitude.
  • Previous experience with QuickBooks an asset.


Working Conditions

This work involves ongoing contact with co-workers, volunteers, donors, member agencies, clients, and the public. Tact, discretion, empathy, and good manners are essential when assisting with the various daily contact. Good judgment is required to make decisions regarding work priorities and the ability to effectively identify problems and resolve conflict is required.


The work is performed on-site at the Head Office between the hours of 8:00 a.m. to 4:00 p.m. Exemplary attendance and punctuality are expected.


Travel, while not anticipated, would be limited to within the National Capital Region.


There may be the occasional need to supervise, training and assist volunteers and temporary office staff.
